Privacy Policy
This notice explains how Carpet Heroes handles personal information when you contact us or use our website.
Last updated: 11 October 2026.
Who is responsible for your information?
Talha Yaqoob, trading as Carpet Heroes, is responsible for the personal information described in this notice. We provide carpet and upholstery cleaning in Southampton and nearby areas.
This notice covers enquiries through our website, email and telephone, and the information needed to arrange our cleaning services.
Email: support@carpetheroes.uk
Telephone: 0238 2280186
Contact hours: Monday to Sunday, 9am to 6pm.
What information do we collect?
The information depends on how you contact us and what you need help with.
- Our contact form asks for your name, email address, telephone number, subject and message.
- Our homepage quote form asks for your name, telephone number, postcode and cleaning details. Your email address is optional on that form.
- When arranging a visit, you may provide your property address, access information and details of the carpets or furniture to be cleaned.
- Email and telephone conversations may include further information you choose to give us about your enquiry or booking.
Website hosting and security services may also handle technical information, such as an IP address, browser details and requests made to the website.
Please only send information relevant to your enquiry. Do not include payment card details or unrelated sensitive information in a website message.
Why do we use your information?
We use your contact and cleaning details to answer questions, check our service coverage, prepare a requested quotation and arrange a cleaning visit.
For information needed to provide a quote you request or carry out your booking, our lawful basis is taking steps towards, or performing, a contract with you.
For general correspondence, handling concerns and protecting the website against misuse, we rely on our legitimate interests in running a responsive and secure business, balanced against your rights.
Where an applicable law requires us to keep a record or provide information, the lawful basis is compliance with that legal obligation.
You can choose not to provide information. However, without suitable contact or job details, we may be unable to respond, give an accurate quote or arrange the service.
Enquiry replies and marketing emails
We currently use email and telephone to deal with enquiries and cleaning arrangements. We are not currently running promotional email, text or WhatsApp campaigns.
Submitting a quote request does not subscribe you to a newsletter or give us permission to send unrelated offers.
If we introduce email marketing, we will explain the choice separately, use an appropriate permission process and provide a straightforward way to unsubscribe. We will update this notice before introducing that use.
How are enquiries handled and who receives information?
Website enquiry forms send an email notification for us to handle your request. Information in those messages may remain in the mailbox and related correspondence while it is needed for the enquiry or booking.
People who help us handle enquiries or carry out the agreed cleaning may need the relevant contact and job details.
Service providers supporting website hosting, business email, security, maintenance and backups may process information as part of providing those services. The information involved depends on the service they provide.
We may also need to disclose relevant information when a law requires it or when necessary to handle a legal claim. Please contact us if you would like to ask about a particular recipient of your information.
Processing outside the UK
The location of processing depends on the hosting, email and support services involved. If a supplier processes personal information outside the UK, the relevant transfer must meet UK data protection requirements.
You can contact us to ask about the providers involved in your enquiry, where they process information and any applicable transfer safeguards.
How long is information kept?
We do not apply one fixed retention period to every enquiry. Our retention criteria are whether the enquiry or booking is still active, whether follow up or a complaint needs resolving, and whether a relevant record keeping obligation applies.
An enquiry that does not lead to a booking should not be kept indefinitely merely because it might be useful later. Our policy is to remove information when there is no continuing need or applicable obligation to keep it.
Booking or accounting records may need to be kept for longer where a legal requirement applies. You can ask us to review whether information about you is still needed.
Keeping information secure
Information should only be available to those who need it for the purposes described above. The website uses an encrypted HTTPS connection and security tools.
No website or email system can guarantee absolute security. If you believe information sent to us has been misused, please contact us promptly so the concern can be investigated.
Cookies and similar browser storage
The website uses WordPress and tools that support page loading and security. These technologies can use cookies or temporary browser storage.
For example, our page loading tool can temporarily read and remove a stored page reference during a browser session. This is separate from the contact details you type into an enquiry form.
You can review or clear cookies and site storage through your browser settings. Blocking storage may affect how some website features work.
If we introduce analytics or advertising technologies that require a choice, we will provide the required information and controls before using them. You can contact us with questions about the technologies on this website.
Your data protection rights
Depending on the circumstances and the lawful basis involved, you can ask to access your personal information, correct it, have it erased, restrict its use or receive a portable copy.
You can object to processing based on legitimate interests and to the use of your information for direct marketing.
Where processing relies on your consent, you can withdraw that consent. This does not affect the lawfulness of processing before withdrawal.
Some rights have conditions or exceptions. Contact support@carpetheroes.uk or call 0238 2280186 to make a request. We may need enough information to establish your identity before disclosing personal data.
Questions and complaints
Please contact Talha Yaqoob using the email address or telephone number above if you have a question or concern about your information.
You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection.
